   Load the document and read the grid

   Drop the PDF onto the Organize PDF page and wait for the thumbnails. Before touching anything, scroll the whole grid once. Seeing the entire document at a glance is the point of this tool, and it usually reveals problems you did not know were there.

   Delete the pages that should not exist

   Blank separator sheets, the page the feeder pulled through twice, the fax cover from 2019. Remove them first, because deleting reduces how much you then have to reorder. At least one page must remain, so an empty document cannot be exported.

   Rotate the pages that came in sideways

   Each thumbnail rotates independently. A stack fed into a scanner in mixed orientations produces exactly this, and fixing it here writes the correct orientation into the file rather than into one viewer's settings.

   Drag pages into the order you want

   Move pages one at a time to their correct position. On a phone, press and hold a thumbnail to pick it up, then drag. The grid is the document: what you see in it is what the export will contain.

   Rebuild and check the result

   Select Organize PDF and download the rebuilt document. Open it and check the first and last page plus any point where you moved a block of pages, since that is where a drag most often lands one position out.

Why scanned documents need organizing so often

A sheet feeder has no idea what your document is. It takes whatever is in the tray, in whatever orientation the pages were stacked, and produces one PDF. Double feeds duplicate a page, a stapled corner skews another, and the cover sheet frequently ends up last because it was placed face up when it should have been face down.

None of that is worth re-scanning for. Reordering, rotating and deleting takes less time than walking back to the scanner, and it produces a document whose page order matches what a reader expects rather than what the machine happened to do.

Doing three jobs in one pass

Reordering, deleting and rotating are separate tools on many sites, which means exporting and re-uploading between each step. Doing all three in one grid means one export, one download and one file to keep track of.

It also means the decisions inform each other. You often only notice that page 14 is a duplicate while dragging page 15, and you only notice the sideways page while confirming the order. Working on the whole document at once catches problems that a single-purpose pass would leave behind.

What a rebuilt document keeps and what it loses

Page content is copied across untouched. Text stays selectable, images keep their resolution, and nothing is re-compressed or re-rendered along the way, so a rebuilt document looks exactly like the original minus whatever you chose to remove. The file size falls only by the weight of the pages you deleted.

Links and bookmarks that pointed at a page you moved or deleted may no longer land in the right place. Scanned documents have none of these, so this rarely matters in practice. For a report exported from a word processor, check the contents page after reorganising.

When to use a different tool instead

If you only need to pull a few pages out and keep them, Split PDF does it in fewer steps. If you only need to turn every page the same way, Rotate PDF is more direct. Organize is for the case where the document needs several kinds of correction at once.

If pages need to come from more than one file, merge first and organize afterwards. Merging then reordering in a single grid is more reliable than trying to interleave two documents by exporting sections of each.

Common mistakes worth avoiding

• Reordering before deleting. Removing pages first means fewer positions to fix and fewer chances to drop a page in the wrong slot.
• Trying to export a document with every page deleted. At least one page has to remain, so the export is refused.
• Ignoring rotation because the pages look fine in your reader. A viewer rotation is not saved into the file and the recipient sees the original orientation.
• Organizing a form. Interactive fields may not survive a rebuild, so fill the form first with Fill PDF Form.
• Deleting a page to hide its contents in a copy you already sent. Removing it now does nothing to the file that already left.
