   Decide what you are trimming and why

   Black scanner borders, wide print margins and slide decks exported with padding all call for different amounts of trim. Knowing the target helps: reading on a phone usually wants an aggressive crop, printing usually wants a conservative one.

   Load the PDF and look at the preview

   Drop the file onto the Crop PDF page. A live preview appears with crop handles on it. Work from the preview rather than from the page as it looks in a reader, since a reader may already be scaling the page to fit its window.

   Set the crop by dragging or by typing

   Drag the handles until the boundary sits where you want it. If you need precision, or if dragging is fiddly on a small screen, type exact margin values instead. A crop area cannot be reduced to nothing, since a usable minimum page size is enforced.

   Choose which pages the crop applies to

   Apply one crop to every page when the document is uniform, which is the usual case for a scanned book or a set of slides. Apply it to selected pages when the document mixes portrait text pages with landscape tables, since one rectangle will not suit both.

   Crop, download and read a page in full

   Select Crop PDF and save the result. Open a page in the middle of the document and check that nothing important, such as a page number or a footnote, has been trimmed away along with the margin.

Cropping is not redaction, and the difference matters

Cropping moves the boundary that a reader displays. The content outside that boundary is still inside the file. Anyone can widen the crop again, extract the underlying page, or open the file in software that ignores the boundary, and everything you trimmed away will be there.

That makes cropping the wrong tool for hiding a signature, an address, a salary line or anything else confidential. If content must not reach the recipient, remove the page entirely with Organize PDF, or rebuild the page without it. Treat cropping as a layout adjustment and nothing more.

Reclaiming a page that was designed for paper

Documents built for US Letter or A4 carry margins sized for a printer's grip and a reader's thumbs. On a phone screen those margins are wasted space, and the text column ends up small enough to need pinch zooming on every page.

Trimming the margins lets the content fill the screen at a comfortable size. For a long document read on a phone, this is often the single change that makes it readable, and it costs nothing in quality because no content is re-rendered.

Scanner borders and uneven page sizes

Scanned books and photocopied documents usually carry a black or grey border where the platen was wider than the page, plus the shadow of the book's spine. A single crop removes both across the whole document.

Uneven sources are harder. If some pages were scanned at a slight offset, one rectangle will clip content on the worst pages. In that situation crop conservatively for the whole document, then apply a tighter crop to the specific pages that can take it.

Cropping, file size and printing

Cropping does not make a file meaningfully smaller, because the hidden content is still stored. If size is the goal, use Compress PDF instead, and expect the result to depend on what the document contains.

For printing, remember that a cropped page has different dimensions from a standard sheet. A printer will scale it to fit, which can leave uneven margins. If the document is going to paper, crop lightly or not at all.

Common mistakes worth avoiding

• Using a crop to hide confidential content. The content is still in the file and the crop can be undone by anyone.
• Cropping every page with one rectangle when the document mixes portrait and landscape pages.
• Trimming so tightly that page numbers, headers or footnotes disappear along with the margin.
• Expecting a crop to shrink the file. Hidden content is still stored, so the size barely changes.
• Cropping before rotating. Turn sideways pages first, or the crop will be applied against the wrong edges.
